Collecting a proof of delivery (POD) is now instant. A driver can snap a photo, capture a signature or record an OTP the moment goods are handed over. POD validation has not kept up. Someone still has to check that the POD meets the requirements before anyone gets paid, and that check is usually manual, slow and repeated.

One POD, three verifications
For an outbound shipment, a single POD drives several payment cycles:
- The logistics service provider (3PL) needs it to raise its freight invoice.
- The shipper needs it to invoice its own customer.
- The customer needs it before releasing payment.
Each party verifies the same document separately. POD requirements also vary by customer and shipment: one needs a signature and company stamp, another a receiver OTP, another a GPS location or photograph. So every reviewer checks against a different set of rules, often days after delivery and long after the driver could fix a missing stamp or an unclear photo.
Why ePOD alone doesn't solve it
Switching from paper to electronic proof of delivery (ePOD) speeds up collection, but a digital copy of an incomplete POD is still incomplete. The delay sits in POD verification: confirming the evidence is present, matches the shipment and satisfies that customer's rules. Until that is automated, billing, cash flow and dispute resolution all wait on manual checks.
Validate once, share one record
Cubesite ePOD moves POD validation to the moment of delivery:
- Your team configures POD requirements by customer or shipment, such as OTP, signed LR copy, location and photographs.
- Drivers submit proof through a WhatsApp-based workflow.
- Every POD is checked automatically against those rules, and gaps are flagged while they can still be fixed.
- The 3PL, the shipper and the customer see the same document, validation status and audit trail, and results flow into your ERP.
What this means for businesses
- Faster billing and cash flow. Invoices go out as soon as a validated POD exists, not after rounds of manual review.
- Lower operating costs. Less paperwork, chasing and reconciliation across teams.
- Better customer trust. Clear delivery evidence and faster resolution when a delivery is disputed.
POD collection is already instant. POD validation should be too. See how Cubesite ePOD validates proof of delivery →
